Quick Start
Three steps to get customer email reaching your AI agent.
Before you start
You need a business email address. Personal domains like gmail.com are not supported — your brand's reply address is derived from the domain you sign up with.
Nothing else is required. A logo, your brand colours and your knowledge base all improve the replies, and you can add them at any time — but none of them is needed to start receiving mail.
Step 1: Create your account
- Go to the Sign Up page.
- Enter your business email address.
- Enter the 6-digit code we email you.
You land on Setup, which is where the next two steps happen.
Step 2: Name your brand
This is the name customers see as the sender on your replies. You can change it later under Replies → Identity.
Saving it generates your reply address — something like
acme-3f9k2p1abcd7xyz@reply.airmailer.dev. The random part is what makes the
address unguessable, so nobody can inject forged "customer" mail into your
pipeline.
Step 3: Point your mail at that address
This is the step that actually connects Airmailer to your inbox. Copy the
address from the Setup screen, then, in whatever provider hosts your support
mailbox, add a forwarding rule from the address your customers already write to
— usually support@yourdomain.com — to the Airmailer address.
- Google Workspace: Settings → Forwarding and POP/IMAP → Add a forwarding address. Google sends a confirmation code to the Airmailer address; it will appear in Conversations.
- Microsoft 365: Mail → Forwarding → Enable forwarding.
- Anything else: look for "forwarding" or "redirect" in the mailbox settings.
Then send a test message to your support address. The Setup screen polls for it and flips from Waiting for your first email to Connected as soon as it arrives, usually within a few seconds.
If it stays on Waiting:
- Check the forwarding rule is active — most providers require you to confirm it from a verification email first.
- Check the message was not filed as spam by the forwarding mailbox.
- Check Activity → Audit log. A message that reached us but was not answered is recorded there with the reason.
That's setup
Mail now reaches your agent, and replies go out under your brand's name. What follows is optional and improves the answers.
Give the agent something to read
Documents is your agent's knowledge base. Upload an FAQ, a returns policy or a pricing page — as a file, or by importing a URL — and replies are drawn from it. An agent with no documents answers from your tone and rules alone, which is usually too little to be useful, so this is the first thing worth adding.
Set the tone
Replies → Agent controls how the agent writes: a tone of voice, and specific rules such as "never promise a delivery date" or "offer a human for billing questions".
Decide what sends automatically
Also under Replies → Agent:
- Auto-send — every reply goes out unreviewed.
- Draft all — every reply waits in Approvals for a person.
- Confidence threshold — replies the agent rates above your threshold send themselves; the rest wait for review.
An unscored reply always waits for review, never sends.
Make it look like you
Replies → Identity holds your logo, brand colours and the mailing address required in the footer by CAN-SPAM and GDPR. Replies → Email previews the result in light and dark mode, with an advanced section for per-surface styling if you want it.
